Office Manager

 

Charleston-based, award winning, Anderson Studio of Architecture and Design is seeking an organized and versatile individual to join our team as an Office Manager. The ideal individual will be aligned with the culture, values, and beliefs of Anderson Studio and have an appreciation for fine residential architecture. While we prefer a minimum of five years of administrative experience; we seek an individual who will demonstrate keen analytical and problem solving skills and a desire to grow in a positive, collaborative and flexible work environment. A candidate with marketing or business development experience in the architectural field is highly preferred, but not required.

The right Office Manager will have the ability to balance demands of multiple internal projects and have the capacity to proactively manage the needs of a growing professional studio. This individual bears responsibility for multiple duties that may be required to keep the studio functional at the highest levels. Examples of these duties include ordering supplies, organizing outside vendors, facilities maintenance, landlord interface, custodial management, and mail coordination. The right Office Manager will have the ability to deal with extremely confidential and sensitive information; in-depth proficiency in word processing, spreadsheets, and graphics media; as well as the ability to coordinate multiple projects requiring information from other sources.

This position will report to the Director of Architecture and Design while simultaneously supporting the Leadership Team and working collaboratively with all ASAD team members..

Responsibilities include:

  • Exhibiting the company’s core values and communicating thoroughly and effectively with all staff, clients, and partners.

  • Acting as the ‘Gatekeeper’ for the Director of Architecture and Design to ensure time management and scheduling seamlessness.

  • Managing and maintaining all professional, firm, and business licenses and renewals.

  • Maintaining employee records and files.

  • Managing talent sourcing, recruiting, and hiring on an as needed basis.

  • Tracking and managing software as it pertains to time management, human resources management, customer relationship management, and internal financial controls.

  • Assisting with accounts payable and receivable, annual budget creation, and client invoicing.

  • Assisting in marketing material creation and distribution.

  • Contributing however possible to ensure the overall effectiveness of support to Studio Leadership, business operations, and the design excellence of the firm.

 

The Office Manager must be professional, detail oriented, and possess an open-minded approach to flexibility and problem solving.
